Security Guidelines for New Staff

New Employee Information Security Guidelines

  1. Information Security Awareness: Frequently change your password, be cautious when opening emails, and avoid suspicious links.
    Password Guidelines:
    • Password must be at least 8 characters long
    • Use numbers, uppercase/lowercase letters, and special characters appropriately
    • Avoid repeated, overly simple, or easily guessed passwords, and do not use your account ID as the password
    • Change your password at least once every six months and avoid reusing old passwords
  2. Only use institution-provided equipment, networks, and authorized software in the office environment. Do not use personal devices or unauthorized software.
  3. Do not use your school email account to register for non-official websites (e.g., social media, e-commerce services).
  4. School-related communication and document transfer must be done using the official school email account.
  5. Do not send sensitive information via instant messaging applications.
  6. Sensitive information must be properly protected, e.g., encrypted transmission.
  7. All faculty and staff must attend at least 3 hours of information security and personal data protection training annually.
  8. Accounts and passwords must be kept securely. In case of a potential leak, change your password immediately and notify the IT staff.
  9. Report any security concerns or anomalies immediately to the information security contact point.
  10. Comply with the Personal Data Protection Act and the Cybersecurity Management Act.
